Agencies · BPO · outsourced teams

Every client hour, task by task.

Each client's work becomes quests with owners and estimates, and the desktop app records the hours on each one from the real work — the ticket, the file, the client's site. People confirm their day; you see estimate vs. actual per client this week, invoice and pay contractors from approved hours, and give clients a read-only view.

You clicked: “Which client is eating your margin?”

Sound familiar?

You're not paranoid. You're the one signing the invoice — and the one eating the overrun.

  • Timesheets are typed on Friday, from memory, rounded to the hour
  • You learn a project blew its budget after it's invoiced
  • A client questions the invoice and you have a spreadsheet, not a record
  • Contractors log 40 hours — you can't see which tasks they went into
  • PMs chase status in chat all day

FocusUp answers every one of these with quests — handed out by AI, tracked from the work itself.

How it works

Write the goal. Everything after that is quests.

  1. 1

    Write a goal

“Launch the new pricing page by Nov 15.” Add a due date and who's on it — or start from a CSV, Excel, Jira or Backlog.

  2. 2

    AI makes the quests

AI splits it into 25–90-minute quests with owners, order, estimates and a “done when.” You edit and approve; each owner gets theirs.

  3. 3

    Your team just plays

Every morning AI picks 3–5 quests for today, and each person confirms them. Then they work as usual — no daily report, no timesheet to type.

  4. 4

    Progress tracks itself

The desktop app records time on the quest at hand. At natural breaks AI asks “Done?” with the evidence, and the person confirms. Goals move on their own.

What changes from day one

AI does the planning and the bookkeeping. People do the work — and every finish counts.

AI makes the quests

Nobody hands out work by hand

Write a goal and AI breaks it into quests with owners, order, estimates and a “done when.” It also spots work that isn't a quest yet — and only the person who did it sees the suggestion.

  • Goals split into 25–90-minute quests; you edit and approve before anyone gets them
  • Work on someone's computer that isn't a quest yet becomes a suggestion only they see
  • Notes and Slack requests to @FocusUp become quests; routine work repeats on its own
  • After each quest, AI suggests the natural next step — one tap to accept or dismiss

Progress tracks itself

No daily reports. No timesheets to type.

The desktop app records time on the quest you're working on. At natural breaks AI asks “Done?” and shows why it thinks so — you confirm. It never completes anything on its own.

  • Time per quest, recorded from the real work on each computer
  • “Done?” with the evidence — e.g. the pull request was merged at 15:40
  • Stalled, overdue and over-estimate quests come up in tomorrow's plan

A little game feel

Every finish counts — quietly

Each morning AI picks 3–5 quests for today and you confirm them. Finishing one earns XP by its size and importance — never by hours or keystrokes. Levels, titles and badges add up, and team goals are won together.

  • XP by size and importance, up to 200 a day — and never taken away
  • Titles as you level up: Apprentice → Adventurer → Seasoned → Expert → Hero → Legend
  • No rankings. We recommend not using XP for performance reviews

Client work, split into quests

Each client project becomes quests with owners and estimates — AI drafts them from the goal, you approve. Contractors always know what's next.

Hours per client and quest, recorded

The desktop app records the time on each quest from the real work — the ticket, the file, the client's site. People confirm; no timers, no Friday guesswork.

Invoices and payouts from approved hours

Invoice lines by client and project at your bill rates, an invoice PDF and a contractor payout file (Wise batch) — from approved days only.

Fair to contractors

Nobody is ranked or scored on activity. They confirm their own day first, keystroke content is never recorded, and they see exactly what the client sees.

Every task lands as a quest with an owner, an estimate and its XP

Start from the plan you already have

Bring your tasks in once — from a CSV, Excel, Jira or Backlog — and FocusUp becomes the home of the work.

  • Excel or Google Sheets as CSV — re-importing updates the same quests
  • Jira and Backlog: import once, or keep them synced every 15 minutes
  • Every task lands as a quest with an owner, an estimate and its XP

For managers: know without asking

Everything you used to chase in chat is already on one screen.

  • Goal progress, updated as quests finish
  • Who is on which quest right now — and for how long
  • A team summary every morning: done, carried over, stalled
  • Verified timesheets: each person confirms and submits, you approve — then payroll, invoice and payout CSV
  • An input-integrity check that flags automated input such as mouse jigglers

Not a timer. Not a tracker.

Timers depend on memory; activity trackers cost you the people worth keeping. FocusUp hands out the work as quests, records the hours on each one from the real work and gets them confirmed — then turns them into invoices you can defend.

Fair to the people doing the work

A game only works if everyone trusts the scorekeeper.

  • Each person sees their own record first — the same record you see
  • AI suggestions are visible only to the person they're for
  • No keystroke content, no camera, no microphone
  • Screenshots are off by default
  • Recording starts after recorded consent — there is no stealth mode
  • No rankings — and we recommend not using XP for evaluations

  • “Done? The pull request was merged at 15:40. — Done / Not yet”

The same record pays people and bills clients

Time per quest becomes a timesheet each person confirms and you approve — and the files you actually need.

  • Payroll hours per workweek (regular / overtime) and a Gusto import
  • Invoice lines by client and project, contractor payouts (Wise) and a read-only client portal
  • Estimate vs. actual per quest, as CSV

Frequently asked questions

How is the time on each quest recorded?+

The desktop app records time on the quest the person is working on — they start it from today's quests and switch with one click. Time that isn't on a quest yet is matched from issue keys in window titles and your project rules, and AI suggests a quest for the rest, to that person only. Time without keyboard or mouse input is never silently deducted, and each person confirms their own day before it reaches a timesheet.

Can the client see the record?+

Yes, on your terms. Create a client link scoped to a project or team; it shows approved hours and daily summaries, and FocusUp can e-mail the client a weekly summary. Revoke it any time.

What do I get for payroll and invoicing?+

Approved hours per person per workweek with a regular / overtime split (40 h for US and Canadian employees), a Gusto Smart Import file, invoice lines by client and project at your bill rates, a contractor payout file (Wise batch) and estimate vs. actual per quest as CSV. Weeks can be locked once approved so the numbers don't move after payroll.

Will my contractors accept this?+

Far more readily than an activity tracker. Nobody is ranked or docked for reading or calls, they confirm their own day before you do, AI suggestions are theirs alone, and they see exactly what the client sees. Most teams frame it as “this is how we prove your hours to the client” — which is also true.

How much does it cost?+

Free for 1 person. Teams: $6 per person per month with everything included (annual = 2 months free), billed only for people who connected the app. You start with a 14-day pilot — $0 today, reminders 7 and 3 days before the first charge, cancel in two clicks, and a 30-day money-back guarantee.
